    Hearth's Warming in the heart!

    Whether you've been naughty or nice, we need your help to make this event merry and bright. As a thank you for donating your valuable time and skills, all volunteers enjoy free admission with the chance for additional perks.Please review our Attendee Code of Conduct and Volunteer Agreement below before applying. By volunteering for The Hearth's Warming Club 2025, you are committing to uphold the Volunteer Agreement.Volunteer applications are OPEN.

    Application Acknowledgement
    You acknowledge and understand that submission of a volunteer application does not guarantee acceptance or placement as a volunteer. The Hearth's Warming Club retains full discretion in the selection and acceptance or rejection of volunteers without explanation. All decisions are final and non-negotiable.

    Code of Conduct
    All attendees are required to abide by our Code of Conduct irrespective of Volunteer status. All Volunteers must review and agree to abide by the guidelines outlined in this section.

    Volunteer Conduct
    Your behavior and interactions reflect not only yourself but also the convention as a whole. Therefore, it is imperative that you conduct yourself in a professional manner at all times as a representative of The Hearth's Warming Club.
    You agree to interact respectfully and courteously with all convention attendees, guests, venue staff, and fellow volunteers. Your role as a volunteer is to assist and support attendees, answer their questions to the best of your ability, and provide a welcoming and inclusive environment for everyone. Additionally, you must adhere to venue staff instructions and regulations, and ensure attendees do the same. Finally, support your fellow Volunteer. Communicate openly and respectfully, and offer assistance whenever needed.Safety is our top priority. You must adhere to any safety guidelines or procedures provided by The Hearth's Warming Club or Venue. If you encounter any safety concerns or hazards during your shift, you must report them immediately to the Operations Lead, venue staff, or law enforcement, if necessary. You will be expected to aid in the management, relocation, and/or evacuation of attendees should the need arise.

    Non-Harassment Policy
    The Hearth's Warming Club maintains a zero-tolerance policy toward harassment or discrimination of any kind. Volunteers found to have engaged in such conduct may face immediate dismissal from their volunteer position and may be prohibited from participating in future events hosted by the convention.
    Harassment includes, but is not limited to, conduct or behavior that creates an intimidating, hostile, or disparaging environment, whether verbal, physical, or visual in nature. This may encompass, but is not limited to, actions such as:- verbal abuse, derogatory remarks, or offensive language,- threats, intimidation, or bullying,- unwanted physical contact or invasion of personal space,- sexual harassment, including unwelcome advances, requests for sexual favors, or inappropriate comments or gestures, and- discrimination based on race, ethnicity, nationality, religion, gender, sexual orientation, disability, age, or other protected characteristics- promotion, support, or normalization of any hateful or offensive ideology or movement.If you experience, witness, or receive reports of harassment or discrimination during your volunteer service with The Hearth's Warming Club, we encourage you to report the incident promptly to the Operatons Deputy, Operations Lead, Vice President, or President. Reports may be made verbally or in writing, and confidentiality will be maintained to the fullest extent possible.Upon receiving a report, The Hearth's Warming Club will conduct a thorough investigation into the matter, taking appropriate action to address the situation and prevent further occurrences. This may include, but is not limited to, disciplinary measures, expulsion from the convention premises, or involvement of law enforcement should the incident constitute.

    Commitment
    Your commitment plays a pivotal role in the success of our convention. By volunteering, you agree to fulfill the duties assigned to you by the Production Coordinator for the duration of the convention. This includes, but is not limited to:
    - pre/post-convention preparation, such as familiarization with specific volunteer roles and responsibilities, venue layout, and emergency procedures, and assisting with pre-and-post-event setup/breakdown,- attendance for all scheduled orientations, meetings, trainings, and volunteer shifts unless otherwise exempt,- prompt and efficient execution of all assigned tasks, and- other duties as assigned.The nature of volunteering may require adaptability in responding to changing circumstances or unforeseen challenges. You agree to approach any changes or adjustments to your volunteer duties with a positive attitude and a willingness to contribute to the best of your ability. If, for any reason, you are unable to fulfill your volunteer duties or must step down as a volunteer, you must notify the Production Coordinator for next steps. Appropriate arrangements will be made to either assist you or cover any gaps in staffing.

    Artwork
    By volunteering to create artwork for The Hearth's Warming Club, volunteers transfer all rights to the convention. This includes the exclusive rights to reproduce, distribute, display, and modify the artwork for any purpose deemed necessary by the convention without compensation, including promotional materials, merchandise, publications, and digital content. While The Hearth's Warming Club retains ownership of volunteer-created artwork, volunteers will be credited for their contributions whenever feasible.

    Photography/Videography
    By volunteering to capture images or videos for The Hearth's Warming Club, volunteers transfer all rights to the convention. This includes the exclusive rights to reproduce, distribute, display, and modify the media for any purpose deemed necessary by the convention, including promotional materials, social media content, archival purposes, and historical documentation. While The Hearth's Warming Club retains ownership of volunteer-created media, volunteers will be credited for their contributions whenever feasible.
    Additionally, as a volunteer, you grant permission to The Hearth's Warming Club to use photographs, videos, or other media taken of you during the event for promotional or informational purposes without compensation or further approval.

    Confidentiality
    You may be entrusted with access to sensitive information and proprietary materials that are integral to the operation of the convention. It is essential that you maintain the confidentiality of such information, which may include, but is not limited to, the safeguarding of all:
    - personal information collected from convention attendees,- legal documents, contracts, agreements, permits, or licenses related to The Hearth's Warming Club, and- internal communications such as discussions, emails, memos, and any other correspondence exchanged among directors, staff members, and third-party entities.You agree to protect any physical or digital materials containing confidential information and use secure communication channels when transmitting confidential information electronically. Exercise caution when discussing confidential information and avoid disclosing such information in public or unsecured environments. You agree not to disclose, reproduce, distribute, or otherwise make available any confidential information to unauthorized individuals or entities, both during your volunteer term and after its conclusion, unless required by law. This obligation extends beyond your volunteer role and remains in effect indefinitely.

    Non-Employee Status
    By choosing to volunteer for The Hearth's Warming Club, volunteers affirm their commitment to serving the convention out of goodwill. Volunteers explicitly acknowledge that they are not employees of The Hearth's Warming Club. Volunteers understand and agree that they are not entitled to receive any form of wage, salary, stipend, or financial compensation for their volunteer service with The Hearth's Warming Club. Additionally, volunteers do not receive employment benefits such as health insurance, retirement contributions, paid time off, or any other benefits typically offered to employees. The relationship between volunteers and The Hearth's Warming Club is solely based on the voluntary provision of services without any expectation of financial gain, employment-related benefits, or other forms of remuneration. Volunteers retain the freedom to determine the extent and duration of their volunteer commitment and may discontinue their volunteer involvement at any time without repercussion.

    At-Will
    Your volunteer relationship with The Hearth's Warming Club is considered to be at-will. The at-will status of your volunteer position renders you the right to discontinue your volunteer involvement with The Hearth's Warming Club at any time, for any reason, as needed. Similarly, The Hearth's Warming Club reserves the right to terminate your volunteer position at any time, with or without cause or advance notice. While efforts will be made to provide volunteers with meaningful and fulfilling roles, circumstances may arise that necessitate the adjustment or reduction of volunteers. Although advance notice of termination is not required under the at-will status, both volunteers and The Hearth's Warming Club are encouraged to communicate any changes to volunteer commitments or resource needs. Providing advance notice, when possible, allows for a smoother transition and minimizes disruptions to convention operations.

    Accommodations
    Volunteering for The Hearth's Warming Club may involve a variety of tasks and responsibilities requiring strenuous physical activities. We recognize that volunteers may have unique needs or limitations that require accommodations to enable their participation in volunteer activities. The Hearth's Warming Club is committed to providing reasonable accommodations to volunteers with disabilities, medical conditions, or other circumstances that may impact their ability to perform volunteer duties.
    If you require accommodations to fulfill your volunteer duties, we encourage you to communicate your needs to the Production Coordinator as soon as possible. Accommodation requests will be evaluated on an individual basis, and efforts will be made to provide reasonable accommodations that meet your needs while preserving the integrity of the volunteer role. Reasonable accommodations may include, but are not limited to:- modification of volunteer tasks or responsibilities,- adjustments to schedules or shifts,- accessible transportation or parking arrangements, and/or- alternative communication methods or formats.The Hearth's Warming Club respects the privacy of volunteers who request accommodations.     Dress Code
    You agree to dress appropriately for your volunteer role, following any dress code or uniform requirements specified by The Hearth's Warming Club. This may include wearing event-provided volunteer shirts or badges for identification purposes.

    Liability Waiver
    You understand and acknowledge that participation in volunteer activities with The Hearth's Warming Club may involve certain risks, including but not limited to physical injury, property damage, and emotional distress. You hereby release, waive, discharge, and covenant not to sue The Hearth's Warming Club, its organizers, directors, coordinators, volunteers, and all affiliates from any and all liability, claims, demands, actions, or causes of action arising out of or related to your participation in volunteer activities. You agree to indemnify and hold harmless The Hearth's Warming Club, its organizers, directors, coordinators, volunteers, and all affiliates from any and all liabilities, damages, losses, or expenses, including court costs and attorney fees, incurred as a result of your negligence, actions, or omissions during your volunteer service. In the event of an emergency, you authorize The Hearth's Warming Club and its representatives to seek and consent to emergency medical treatment on your behalf as deemed necessary by medical professionals.

    Feedback and Concerns
    For any concerns or feedback about your position as a Volunteer, please approach the Production Coordinator directly or via designated department channels. Constructive criticism is welcomed but should be expressed respectfully.


    THE BOTTOM LINE

    By volunteering for The Hearth's Warming Club, you agree to abide by this Volunteer Agreement and Code of Conduct.Event organizers reserve the right to remove anyone from the event who violates these guidelines without a refund. In the event of a rule change, we will make every effort to inform attendees via Discord or email. All updates will be reflected on this page for your reference. By adhering to these rules, we can ensure that all attendees have a wonderful time together.

    Welcome to our Hearth's Warming Helper event!

    Before applying, please review the following guidelines:

    • Gifts for the Hearth's Warming Helper event should not exceed a maximum value of $20.

    • Choose gifts that are suitable for your chosen Helper's likes and interests.

    • All gifts should be submitted and approved by appointed staff before the event.

    • It's not only about the gift, but the care put into its presentation. Wrapping supplies will be provided.

    • The identity of the gift giver should remain anonymous indefinitely... or until the conclusion of the event.

    • Regardless of the gift you receive, show appreciation. It's the thought and effort that counts the most.

    • If the gift you receive isn't suitable for you, consider regifting it to or trading it with someone who might like it, or donate it to our charity box. Do not surrender gifts during the event.

    • Report inappropriate gifts to event organizers immediately and privately.

    MERRYMINT

    Merrymint is a confectioner pony living on the outskirts of Ponyville. This minty Earth pony possesses a heart as warm and bright as the Fire of Friendship. She aspires to bring joy to all creatures across Equestria. During the holiday season, Merrymint lovingly bakes sweet winter treats for Ponyville's residents with her jackalope friend, Snow Angel. Unlike other ponies, Winter Wrap Up is her least favorite holiday, but she knows the thawing of the season gives her time to make next year's Hearth's Warming even better than the last! She enjoys long sleigh rides through town and the chill of peppermint.

    BAH HUMBUCK

    Bah Humbuck is a grinchy reindeer who, much to his horror, lives in Ponyville… right across the street from the perpetually jolly Merrymint. Known for his equally perpetual scowl, Bah despises the holiday season and everything it stands for. The very sight of falling snow makes their antlers ache for sunny days and sandy shores. When winter comes, Bah hides in their ornament-less home, cursing Merrymint’s twinkling lights and cheery carols. Their cold demeanor melts with the snow, however, transforming into a beach bum with a taste for gin and tonic. Their summer outfit consists of sunglasses, camo cargo shorts, and a muscle tee.

    SNOW ANGEL

    Snow Angel is a white jackalope who lives with his Ponyville friend, Merrymint. After being abandoned by his warren as a kit, the jackalope was happily adopted by the Earth Pony on the first snowfall of the season. He has stayed by her side ever since. Snow Angel acts as Merrymint's dual sous-chef taste tester and lead sled bunny during her Ponyville deliveries. He is fun, silly, and a little stubborn, and shares Merrymint's wish to spread joy across all of Equestria! He is a distant descendant of Angel Bunny.

    We are thrilled to have you join us for a weekend of fun, friendship, and festivity. To ensure everyone has a holly jolly time, we kindly ask all attendees to adhere to the following Code of Conduct:

    Age Limit
    Please be advised this is an 18+ gathering. Attendees may be required to provide proof of age at any time, which may include: state-issued identification, U.S. military ID card, or passport. All forms of verification must be valid and current. Persons found to be 17 years old or younger at time of the event or who fail to provide verification will be promptly removed from event spaces—no exceptions!

    Behavior Policy
    Attendees are required to act with common sense and discretion at all times, including, but not limited to, not sleeping in convention spaces or capturing media of other attendees without their consent. Additionally, attendees must refrain from any behavior that may cause harm or danger to themselves or others, even if such behavior is not explicitly covered in this policy.
    Although this is an 18+ event, please keep conversations and actions appropriate for most ages. Refrain from using offensive or discriminatory language, gestures, or displaying inappropriate content. All attendees are expected to treat each other with respect, regardless of race, ethnicity, gender identity, sexual orientation, disability, religion, age, or any other characteristic.Harassment, discrimination, or any form of disrespectful behavior will not be tolerated. Please refer to our Non-Harassment Policy below for more information regarding harassment.

    Non-Harassment Policy
    The Hearth's Warming Club maintains a zero-tolerance policy toward harassment or discrimination of any kind. Volunteers found to have engaged in such conduct may face immediate dismissal from their volunteer position and may be prohibited from participating in future events hosted by the convention.
    Harassment includes, but is not limited to, conduct or behavior that creates an intimidating, hostile, or disparaging environment, whether verbal, physical, or visual in nature. This may encompass, but is not limited to, actions such as:- verbal abuse, derogatory remarks, or offensive language,- threats, intimidation, or bullying,- unwanted physical contact or invasion of personal space,- sexual harassment, including unwelcome advances, requests for sexual favors, or inappropriate comments or gestures, and- discrimination based on race, ethnicity, nationality, religion, gender, sexual orientation, disability, age, or other protected characteristics- promotion, support, or normalization of any hateful or offensive ideology or movement.If you experience, witness, or receive reports of harassment or discrimination during your volunteer service with The Hearth's Warming Club, we encourage you to report the incident promptly to the Operatons Deputy, Operations Lead, Vice President, or President. Reports may be made verbally or in writing, and confidentiality will be maintained to the fullest extent possible.Upon receiving a report, The Hearth's Warming Club will conduct a thorough investigation into the matter, taking appropriate action to address the situation and prevent further occurrences. This may include, but is not limited to, disciplinary measures, expulsion from the convention premises, or involvement of law enforcement should the incident constitute.

    Cosplay Etiquette
    Cosplay is not consent. Do not touch, hug, or engage in any physical contact with cosplayers without their explicit permission. Obtain permission before taking pictures.
    If you are participating in cosplay, please be mindful of your costume's size and accessories to avoid inconveniencing others. Any costume or prop that poses a safety risk, could cause injury, could be mistaken for a real firearm or other weapon, or could be considered threatening, offensive, or inappropriate is not allowed. All cosplays must adhere to hotel rules and local law.

    Lodging Policy and Support
    The Hearth's Warming Club is not responsible for incidents or activities that occur within individual hotel rooms. Attendees are solely responsible for their behavior and actions while staying in hotel accommodations.
    However, if an attendee feels unsafe or experiences harassment while staying in their lodging, we encourage them to reach out to convention staff for assistance. Convention staff will work with hotel management and local authorities, if necessary, to address any reported incidents and ensure the safety of all attendees. Again, reports of harassment or safety concerns will be handled with the utmost confidentiality of all parties involved.

    Hotel Property
    Attendees are expected to treat hotel property, including rooms, common areas, and amenities, with care and respect. Attendees should adhere to any rules or guidelines set forth by the hotel, irrespective of convention rules, regarding the use of all facilities and amenities. Disruptive or inappropriate behavior in these areas may result in expulsion from the hotel premises.
    Attendees are not permitted to affix stickers, posters, flyers, or any other materials to any surfaces within the hotel premises without explicit permission from convention organizers and hotel management. We reserve the right to remove any unauthorized materials found on hotel property. There will be a designated posting board for attendees that will be clearly marked and provided by convention staff. Any damage to hotel property will be the responsibility of the individual or group responsible.

    Safety
    Attendees must comply with all local, state, and federal laws, as well as convention and venue policies and rules. Report any suspicious activity or behavior to event organizers, hotel staff, or law enforcement, if necessary. All illegal activity will be reported to the appropriate authorities.

    Drugs and Alcohol
    Alcohol may be served and consumed in private spaces or dining halls of the hotel by those 21+. Smoking and vaping are only permitted in designated areas provided by the hotel. The use of illegal drugs is strictly prohibited. Any violation will result in immediate removal from the event and police intervention.

    Food and Allergies
    We will be arranging catering services on Sunday available to all attendees. Ingredient information will be clearly labeled for food items available at all catering stations. Inquire with catering staff for any questions concerning specific dishes.
    If you have a food allergy or dietary restriction, please inform convention staff or catering personnel prior to or upon arrival at the event. We will do our best to accommodate your needs and provide suitable meal options. Please be aware that the hotel's catering facilities may handle common allergens such as nuts, dairy, soy, and gluten and will take every measure possible to prevent cross-contamination. Those with severe allergies should exercise caution. If you or someone you know experiences a severe allergic reaction, seek medical help immediately. Convention and hotel staff will be here to help in the event of an emergency.

    Health and Masking
    Attendees should maintain good personal hygiene throughout the convention. This includes regular bathing, wearing clean clothes, and using deodorant. Proper hygiene not only benefits yourself and those around you, but also helps prevent the spread of illness. If you are experiencing symptoms of illness, we ask that you please prioritize your health and that of those around you by staying home. This helps protect everyone. While The Hearth's Warming Club does not require attendees wear masks in any spaces of the event, attendees are expected to be aware of and comply with any local, state, or federal mask mandates.

    Dress Code
    Badges must be worn by attendees at all times and must not be shared with others, fellow attendee or otherwise. While there is no strict dress code, please ensure your attire is appropriate. We encourage attendees to wear holiday-themed attire.

    Media Consent
    Attendance at The Hearth's Warming Club implies consent for convention staff to capture media of attendees and their likeness for documentation and promotional and archival purposes related to the convention without any expectation of financial compensation or other forms of remuneration.

    Preemptive Measures
    There may be rare instances where it becomes necessary to take preventative action to preserve the integrity of the convention experience, identity, and its organizers. Therefore, the Hearth's Warming Club reserves the right to bar an individual from attending the convention for any reason deemed necessary by convention leaders. Any decision to bar an individual from attending will be made with careful consideration.
    The Hearth's Warming Club reserves the right to determine for itself if any action committed by an individual within convention or operational spaces is detrimental to its relationship with its operations, associates, partners, and local community members.

    Feedback and Concerns
    If you have concerns or feedback about the event, please approach the event organizers directly or via social media channels. Constructive criticism is welcomed but should be expressed respectfully.


    THE BOTTOM LINE

    By attending The Hearth's Warming Club, you agree to abide by this Code of Conduct.Event organizers reserve the right to remove anyone from the event who violates these guidelines without a refund. In the event of a rule change, we will make every effort to inform attendees via Discord or email. All updates will be reflected on this page for your reference. By adhering to these rules, we can ensure that all attendees have a wonderful time together.
